1.  Case Managers to try out fill out survey and application form.

2.  Need to pilot the survey form to a limited set of mentors to get their feedback.  10/11'ish

3.  Release 1 Content

    - Trade in online application

      -- Y Mentor team to review which fields are optional and let Al know.    

   - Postpone to a later release MS Access linkage to survey google spreadsheet data

     -- rationale online application is more urgent and there will be no survey data to "access" until at least 3 months from 10/15    

4. Discuss the online app form fields

   -- let's continue the discussion online

5. At a later mtg, Al talked to Steve and Brenda

    - they are okay with a ymap.middlewaygrouip.com  web address.

      - No need to get a rchymca.org style

       - Brenda will put a link from Y Family site.

6. Y Mentor team will review  "User Stories"  to determine what functions and features to include in future releases

7. Survey data (when they start coming in) analysis and report generation can use spread-sheet tools for report gen.

August 31 Meeting Notes

Present: Al, Jenny, Bev and Mohammed 

1. Y Mentor team understood more clearly that Release 1 Sprint 1 has dependencies on them providing the "assessment form".  Al showed what MBA students current proposal forms were located.  They can be reached via the following links: 

    Parent Folder, Mentee Folder and Mentor Folder

   - Team should review the MBA proposed format and redesign if required.     

     -- Al updated work item list to reflect new date for form template

     -- Jenny may upload any word document that contains the form to the Case Manager Upload Folder.  See How To Upload. 

2. The D-Day for Release 1 is 10/15 

    - Al re-explained Release 1 content (Plan of Record) 

   - Jenny will contact Hoa to tell him who should be at the Access training meeting 

3. Al explained that the current web location is only for prototyping. On production, it will have its own web address. 

   - Al need to talk to Steve about domain name registration

4. Al explained how the IT team uses "User Stories"  to determine what functions and features to include in future releases

5. We have decided to meet once every other week. 

6. Team liked the idea of discussion forums for mentors especially that it can be secured. Currently they have facebook pages/groups which have security concerns.  

 

Things that Al forgot to mention: 

1. We have a new IT team member, Kim. He works at UMR as an IT admin and has great expertise in simplifying IT support/admin etc.  Also, he has multi-media experience and a passion to help the community. He has offered to work with the Y to lend his support. 

   

 

 

August 31 Talking Points

 
1. Status of new survey forms. Sprint 1 delivery date of 9/11 depends on having the format of the survey form. 
2. Who should be at Access training so that Hoa can contact and schedule training
3. Explain how the development team uses "User Stories" to provide functions to the stakeholders.  And what do we mean by the 9/11/2010 Sprint 1 Date.

2. Gave Y Mentor Staff userid and pw access to YMAP.
3. Demonstrated the flow of a proposed Web. UI
4. Talked to Bev about survey form format.

    - Authorized staff periodically download data in CSV format
      - Staff can use access to query or generate report
       
 
3. Stakeholders to make decisions including: 
 
  1. Whether to "cancel" (close out) Phase 2 and instead go forward to implement New Proposal. 
  2. Implement both Phase 2 Plan of Record and New Proposal
